Position: Bookkeeping / Pending Discharge Specialist

Responsible to: Operations Manager

Employment Status: Full-time hourly in the Battle Creek office

7:30 am to 3:30 pm

General Description: The Bookkeeping / Pending Discharge Specialist, under the supervision of the Operations Manager, performs a variety of bookkeeping functions following generally accepted accounting principals. This role assists with pending discharge processing and also processes small estate settlements.

Specific Responsibilities: The person in this position will handle a variety of bookkeeping and pending discharge functions including but not limited to the following duties:

1) Individual VA Bank Reconciliations

a. Monthly – Print and reconcile VA client bank statements. Track outstanding checks. Identify reconciling items and coordinate with Bookkeeping coworkers to clear.

b. Posting of journal entries for outside deposit accounts.

c. Scanning financial statements into client database.

d. Setup new VA accounts with SMBT.

2) Client Accountings

a. Prepare annual trust accounting reports for trust clients.

b. Act as back up for annual VA Accountings.

3) Paycards

a. Open client paycard accounts and assist in maintaining recordkeeping for clients.

4) Pending Discharge (PD) Processing

a. Review and determine next step for PD clients

i. Those with zero balance coordinate with Intake/Discharge Specialist to discharge client

ii. PD Clients with balances

1. If client is living, determine who to remit funds to

a. Close restricted savings accounts

2. If client is deceased, process small estate

a. Remit income to SS, VA, Pension Co. etc

b. Coordinate with funeral home and/or family regarding payment for amounts owing

5) Back-up Full-Time Bookkeeper

a. As Directed – Process client payments

b. As Directed – Assist with monthly SSA Payee Reports

c. As Directed – Assist with accounts payable

d. As Directed – Assist in preparation of Contract Billings

6) Corporate Reports and Reconciliation

a. Prepare and post General ledger entries

b. Prepare monthly reconciliations as directed

c. Assist in the preparation of monthly financial and ad hoc reporting

7) Client Taxes / 1099 Support

a. Print annual tax summary sheets for clients submit to Tax Prep team

b. Print 1099 INTs’, Misc and NEC forms

i. Assist with 1099 Excel file remitted to CPA firm for filing with IRS

8) Administrative Support

a. Assist with annual corporate audit as needed

b. Back up front desk receptionist tasks when needed.

c. As Directed – open new client dedicated bank accounts.

d. Other Tasks as assigned

Qualifications:

  • Associates degree in Accounting or 1-3 years of relevant experience preferred.
  • Experience with computerized accounting systems, word processing, spreadsheets, and relational databases. QuickBooks and Excel knowledge a plus.
  • Detail-minded; ability to handle multiple tasks and prioritize such tasks.
  • Excellent organizational, analytical, and communication skills.

Compensation: The position has a wage range of $15 -$17 per hour to start based on experience. Guardian Finance and Advocacy Services provides an excellent benefits package including a generous PTO policy, holiday schedule and 401k match.

Pay: $15.00 - $17.00 per hour
