Key Responsibilities:

• Weekly Billings to be completed by end of day each Tuesday
• Monthly Billings to be completed in first week of each month
• Update Master Billing Spreadsheet
• Set up new customers: Accounting Software; Add to Billing Spreadsheets; Add to Contact List; Manilla folder with rates
• Keep 3PL updated: Customer notification emails; Items; Rates
• Run system reports: Open Orders; Open Receivers; Inventory>check for MU’s/Locations
• Keep Contract folders and contract binder up to date
• Keep SOP binders up to date: Periodically make sure SOPs have not changed. If changes have been approved by management: Update written SOP in binder(s); Update in One Drive
• Setting up Orientations for New Hires
• Adding them to the Orientation Review Schedule
• Maintaining the Orientation Review Schedule by sending out reminders to the Management teams
• Making handouts for Orientations
• Keep work area clean and organized at all times, including emails
• Follow all processes as you are trained. Processes are in place to get the work done timely, accurately, and safely. Do not go outside of a process
• Follow all safety rules when walking in warehouse. Report any issues you see
• Take care of all equipment provided to you. Report any issues that may occur with equipment
• Communicate timely with CSR’s, management, customers, warehouse, and customers

Experience:

• 1-2 years previous Billing Specialist experience preferred
• Good communication, organizational, time management and mathematical skills required
• Able to interface with all levels of staff and management required
• Excellent organizational skills required
• Familiar with Microsoft Office required
• Familiar with QuickBooks and Netsuite preferred

Education:

• Associates or higher degree preferred but not required
