POSITION SUMMARY:

Functions as the primary contact person for questions regarding benefit programs. Responds to questions on a timely basis. Lead the annual end-to-end benefits review process. Review and assess all programs for financial management, compliance, competitiveness, and effective delivery. Bring well thought out recommendations and strategies Leadership and Human Resources. Responsible for Employee Benefit communications ensuring all benefit offering information is available and accessible. Analyzes & provides accurate information on health, welfare, and disability plan information to employees. Ensures compliance with state or federal requirements with provisions of Short-Term and Long-Term Disability, ERISA, HIPPA, COBRA, ACA, FMLA, ADA, Workers Comp and internal policies. In addition, provide support to all health and welfare programs, COBRA, flexible spending, voluntary benefits, etc. Handles the FMLA leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use. Processes life-cycle events in coordination with payroll and within payroll timelines to facilitate accurate administration of Paid-time-off benefit (PTO), premium reconciliation and COBRA eligibility. Manage benefits deduction and ensure data accuracy for payroll processing, including but not limited to health insurance premium, FSA, HSA, and 401(k).

ESSENTIAL DUTIES:

  • Maintaining employee files as to ensure accuracy and compliance.
  • Reviews coverage contracts for accuracy of policy provisions.
  • Negotiates with markets for benefits premium concessions.
  • Administer benefits programs, health insurance, life and disability insurance, flexible spending plans, EAP, and other programs, including but not limited to enrollment, broker communications, reconciliations, and troubleshooting.
  • Responds to 401(k) inquiries relating to enrollments, plan changes and contribution amounts.
  • Drive data related audit/compliance projects, such as 401(k) year-end test, 401(k) 5500 audit, annual ACA filing.
  • Process workers compensation claims.
  • Support benefits projects (Open Enrollment, Workday Updates, Flu Clinics, Health Fairs, etc.) and system set up and reporting.
  • Communicates with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
  • Oversees the return-to-work process for employees returning from extended FMLA, workers’ compensation, or other leave(s).
  • Drafts and/or recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
  • Excel analysis and reporting, including census files, billing analysis and processing and reconciliations with Finance.
  • Works with Payroll Department on employee benefit deduction issues and corrects any discrepancies.
  • Identify opportunities for automation from current workflow, and work with the internal HRIS team and external vendors to release human hours from manual work and improve data accuracy.
  • Perform other job- related duties as assigned within the scope of business.

REQUIRED KNOWLEDGE, SKILLS, ABLITIES AND COMPETENCES:

  • Knowledge of employee benefits and applicable laws
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills
  • Ability to exercise discretion and professionalism when handling highly confidential and sensitive information.
  • Extensive knowledge of the leave requirements and other legal protections afforded by the including ERISA, FMLA, STD, LTD, HIPAA, COBRA, tax withholding/reporting, etc., and other applicable laws.
  • Knowledge of annual 401k audits and prep work
  • Coordinating activities and successfully completing regulatory tasks (i.e., 5500's, ACA and other notices/disclosures) throughout the year
  • Experience with Viventium
  • Proficient in Microsoft Office Suite, Google Suite, or similar software.
  • Ability to travel for meetings at other locations, up to 1 week every month.

MINIMUM QUALIFICATIONS:

  • 3+ years of experience in Benefits Administration working as a Benefits Specialist or Benefits Coordinator
  • Associates degree in HR or related field, but experience and/or other training/certification may be substituted for the education.
  • Knowledge of all pertinent federal and state regulations, filing and compliance affecting employee benefit programs
  • Well-organized, self-directed, a strong customer-service orientation and commitment to insuring timely, quality solutions to customer issues.

PREFRERRED QUALIFICATION:

  • PHR, SPHR, SHRM-CP, or SHRM-SCP Certification
  • Bachelor’s degree in Human Resources or related field, or equivalent work experience, required.
  • Completion of specialized certification or training on leave administration or benefit administration a plus.

Pay: $45,000.00 - $55,000.00 per year
