The Da Silva team has been the number one real estate team in Newark, New Jersey for 3 years and counting. A growing real estate team with a true team mentality. Located currently in Verona NJ & moving to Newark NJ into the Kreuger Scott mansion in summer 2023. The team began in 2019 and has grown to a team of 9 agents, 3 admin staff, and 3 virtual assistants.

Executive Assistant/Property Manager

JOB DESCRIPTION

The primary responsibility of the executive assistant is to support the mission/vision of The Da Silva Team LLC by managing the office of the CEO and providing high-level support and assistance in all areas necessary for the success of the business. This includes various administrative duties, event planning, and personal assistance. This role includes assisting the CEO and his wife, along with managing a short-term rental business.

Salary- $60K-$70K (based on experience)

Benefits- 10 PTO days, 5 sick days, 8 Holidays, 1 floating holiday, 5 work-from-home days/year

PRIMARY DUTIES AND RESPONSIBILITIES

  • Serve as a liaison between the CEO, other staff members, the co-brokers, and the community.
  • Manage and maintain the CEO’s calendar including scheduling and coordinating all meetings and other events. Ensure personal calendar events are reflected in the CEO's calendar and share relevant dates with other staff members for planning purposes.
  • Manage, review, and prioritize all communication for the CEO.
  • Draft all outgoing correspondences as dictated by the CEO.
  • Assist the CEO in preparing any speaking engagements by providing source materials and organizing the presentation.
  • Maintain CEO’s personal files and other sensitive documents.
  • Execute all preparations for meetings conducted by the CEO as needed.
  • Prepare CEO’s notes for various meetings and other events as needed.
  • Partner with the marketing department to ensure continuity between blog, social media, and other marketing strategies.
  • Assist in the preparation, execution, and communication of special projects and speaking engagements of the CEO.
  • Assists CEO’s wife in the preparation and execution of tasks when needed.
  • Coordinate and arrange for travel needs such as flights, hotels, meal reservations, etc.
  • Manage administrative needs of the office of the CEO.
  • Provide personal assistance to the CEO as needed and appropriate.
  • Update Standard Operating Procedure templates in various areas related to the CEO’s office.
  • Manage all aspects of the property management business
  • Handle day to day communications with the virtual assistance and cleaners
  • Regularly update dynamic pricing strategy to reflect appropriately on the calendars
  • Approve discounts and low star/new airbnb accounts requesting to stay
  • Onboard new clients including quotes, furniture setup, installation and all integrations
  • Handle emergency or last minute situations with guests
  • Ensure all systems and integrations are running smoothly
  • Communicate with owners when issues arise
  • Complete monthly payouts to owners
  • Manage furniture install, ordering, and setup

Knowledge, Skills and Abilities

  • Proficient computer skills and in-depth knowledge of relevant software such as Microsoft Office Suite and G-Suite
  • Familiarity with and regular use of the Internet and various Social Media platforms
  • Knowledge of standard office administrative practices and procedures
  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills

  • Ability to problem solve
  • Property management experience a plus

Pay: $60,000.00 - $70,000.00 per year
