Duties & Responsibilities
Job Summary

This position is responsible for assisting the Controller in directing College business operations in one or more of the following: financial and external reporting; general ledger control and accounting; auditing (internal and external); cash and investment management; bank and/or other reconciliations; rental and lease administration; payroll process; tax preparation, compliance and regulatory reporting; accounts payable (A/P); purchase cards (P-card) transaction cycle; student refunds and disbursement process; accounts receivable (A/R); third party sponsor billing and/or invoicing; recording and monitoring fixed and tagged assets.

Essential Responsibilities
  • Directly supervises functional areas of the Business Office, may include: payroll; bank and/or other reconciliations; A/P process; P-card transaction process; student refunds and disbursement process; A/R and third-party sponsor billing and/or invoicing; recording and monitoring fixed and tagged assets; and travel; as assigned.
  • Supervises and manage staff including coordinating job functions to: hire, train, schedule, evaluate, and make recommendations to promote or discipline. Ensuring adherence to established internal controls, maintaining adequate accounting records related to providing good customer service both internally and externally. Devotes a majority of work time to supervisory duties and customarily and regularly directs the work of two or direct reports.
  • Assists Budget Officer and Controller with preparing the annual and mid-year institutional budget; collaborate to monitor budgets and approve budgetary expenditures.
  • Shares responsibility in creating the year-end Annual Comprehensive Financial Report (ACFR), including reconciliations, analytics, financials, footnotes, and supporting schedules.
  • Assists Controller with coordinating internal and external audits and with the timely submission of reports to external agencies. Periodically performs unannounced audits or compliance reviews on departments to include: cash, inventory, assets, or documentation ensuring adherence to proper internal controls, following and/or maintaining adequate accounting records and/or adhering to guidelines and regulations; as assigned or needed.
  • Reconciles accounts, calculates, prepares, and/or approves transactions, requisitions, journal and budget entries. Serves as point of contact for agencies, auditors, vendors, or departments to: monitor expenditures, investigates abnormalities, provide variance analysis, and/or assists with problem resolutions.
  • Participates in the monthly closing process including preparing allocations, accruals and account reconciliations. Collaborates with Controller and Budget Officer to prepare or review monthly financial statements and investigate abnormalities to present financials to the Executive Vice President; as assigned.
  • Serves as accounting system co-administrator; establishing or monitoring controls and permissions to ensure the accuracy and security of accounting records. Maintaining the chart of accounts including activation; as assigned.
  • Shares responsibility in the monitoring the institution’s cash and sources and uses of funds. Authorizes and review online banking and positive pay transactions and credit card machine set-up; as assigned.
  • Learns duties of Business Office assigned areas and cross trains to perform functional tasks and related duties. Recommend updates to streamline accounting procedures related to accounts or other assigned duties and adhere to the College and Business Office internal controls and confidentiality policy.
  • Additional duties as assigned.



Qualifications
Minimum Qualifications
  • Knowledge and level of competency commonly associated with the completion of a bachelor’s degree in a course of study related to the occupational field.
  • Experience sufficient to thoroughly understand the diverse objectives and functions of the subunits in the division/department in order to direct and coordinate work within the division/department, usually interpreted to require two years of related experience.
