The Assistant Bursar will assist the Bursar’s office with the implementation of the student information BANNER and assist users, parents, and students with all Banner related needs. Fee related income from BANNER processes generate over 130 million dollars in revenue annually.

The Assistant Bursar will be responsible for maintaining Security (addition and deletion of staff) set up and maintenance of detail codes, tables, account maintenance, account structure, setting up rules relating to fee assessment, withdrawals, refunds, waivers, discounts, and any other fee related items.

Primary Responsibilities:

Banner

  • Manages Banner functionality including developing reports, rules, and scripts and all documentation resulting from upgrades, changes in processing, and new developments for the Bursar’s Office and the shared drive
  • Manages the updates/upgrades and releases, day to day maintenance of the Banner system
  • Manage and perform monthly student billing, cancellation for non-payment and update and removal of BANNER users for security
  • Works with other departments concerning Bursar office functions relating to BANNER
  • Maintains upgrades and releases and processing semester rules (Fall, SPRING, Summer) and any duties relating to the maintenance of Banner
  • Runs end of day processes in Banner daily to maintain integrity and accuracy of students’ accounts

TouchNet

  • Manages the TouchNet System and test upgrades and releases
  • Completes Banner and TouchNet testing and training and support to Bursar’s office staff
  • Completes testing of all rules relating to refunds, course fees, lab fees, Distance Learning fees, differential fees, and any other miscellaneous fees
  • Assists the department during peak time with questions related to fees, charges, and refunds
  • Maintains third-party software and interfaces such as TouchNet cashiering, credit card processing, electronic refunds, and deposits
  • Resets student pins as needed to allow students access to the TouchNet system
  • Closes TouchNet sessions daily to ensure reconciliation between TouchNet and Banner

UC4

  • Checks UC4 daily to ensure Holds are adding and removed successfully
  • Troubleshoots issues as they arise with the UC4 automated process

Payments & Fees

  • Processes Title IV updates, reviews rejected refunds from ACH deposits
  • Performs monthly reconciliation of prepayments for scholarships and other related programs
  • Processes returns for ACH checks for students and parents
  • Performs setup rules in Banner to assess all tuition and fees for the campus including Distance Learning fees for “D” campus, differential fees, credit by exam fees, PMBA, and EMBA fees
  • Performs setup refund rules and withdrawal/drop dates to allow students to receive the appropriate prorated refund at the time of their drop/withdrawal
  • Performs setup installment plans for students to choose from via TouchNet
  • Manually assesses orientation fees (summer) and extension fees

Processes

  • Runs transfer voucher processes to send necessary data to UT Knoxville weekly
  • Approves refunds as they are sent
  • Serves on the duplicate ID committee by updating the documents with Bursar decisions on each student shared drive
  • Serves as holds trainer for all University employees to gain access to add and/or remove holds
  • Supervises and trains Sr. Accounting Clerk position on daily responsibilities and performs evaluation of said staff

The ideal candidate will possess the following:

  • Excellent oral and communication skills
  • Query writing skills using SQL, Microsoft Access, or Crystal Reporting
  • Proficient in Excel and familiar with Microsoft Access or similar query language and SQL

Minimum Qualifications: Typically requires a bachelor’s degree in a Business, Computer Science, or relevant field and one year of relevant experience, or an equivalent combination of education, training, and experience.

Preferred Qualifications: 2-3 years’ experience in higher education, preferably in Bursar or Financial Aid office; and 1-2 years’ experience working with Banner or similar student information systems are preferred.
