      Position Summary
      (Classified as: Student Services Professional III)

      Full-time position available on or after April 10, 2023 for the Stockton Campus.

      Under the general supervision of the Dean and Associate Dean, the Advising and Outreach Coordinator will serve and support the Stockton Campus' continuing and prospective degree-seeking students through recruiting, evaluation, advising, financial aid and other program and student support services. The position will work functionally and closely with faculty, program chairs, coordinators. directors, the Advising Department, Admissions, Financial Aid, Enrollment Management and student support services to provide advising and financial aid counseling; independently evaluate and process admissions applications for programs administered at the Stockton Campus; outreach and partnership with education institutions in San Joaquin County; provide admissions information to prospective and continuing students in response to inquiries; evaluate academic progress for continuing students; use judgment and knowledge to recommend solutions to admissions related issues and procedures; advise students and their families, particularly those from traditionally underserved groups; create, facilitate and lead our enrollment management goals; participate in program development, advise the Dean of possible recruitment and program opportunities in San Joaquin County; and serve as the primary liaison to both internal and external departments/constituents for issues related to advising and outreach. The position will lead student employees and/or part-time employees and will cultivate relationships with stakeholders, this position will be the repository of university rules and policies for student services and is responsible for handling the most difficult and complex academic advising and admissions cases for the Stockton Campus.


      Job Duties

      Duties include but are not limited to:
      • Provide Direct Student Advising Services.
      • Assist and participate in the formulation and implementation of organizational goals and objectives.
      • Provide academic advising to prospective, admitted and transfer students in general education, program requirements and course selection.
      • Provide comprehensive advisement to assist students to identify their academic problems, evaluate them realistically, and deal with their aptitudes and abilities as related to their needs.
      • Provide academic, learning or career-related advising on an individual or small group basis.
      • Provide walk-in and scheduled advising opportunities.
      • Develop and update advising materials.
      • Participate in advising related meetings, activities, and events at the Stockton and Turlock Campus.
      • Communicate with faculty and department chairs regarding advising, classes and program requirements/changes.
      • Adhere to all federal and University guidelines with respect to student privacy rights.
      • Evaluate academic progress for continuing students.
      • Maintain current knowledge of resources, majors, prerequisites, general education and graduation requirements, University procedures, rules and regulation along with other student services.
      • Maintain detailed and current records on assigned student population.
      • Ensure the up-to-date maintenance of required documentation, web-based resources, reports and student records in accordance with university policies, government regulations and accreditation standards.
      • Develop and oversee the implementation of advising programs, develop electronic communication and processing tools to support the advising program.
      • Serve as the Stockton Campus liaison to the student service areas on-campus including, but not limited to: Disability Resource Services, Financial Aid, Enrollment Management, Library, etc.
      • Develop systems to effectively identify, organize, and implement student service needs.
      • Refer Stockton students to other campus departments as needed.
      • Prepare students for graduation, including reminders of degree progress, graduation requirements and deadlines.
      • Arrange for students to meet with faculty as needed for graduation requirements.
      • Interpret complex regulations of requirements and apply them in the evaluation process.
      • Analyze the effectiveness of outreach programs on an annual basis: collect data (e.g., attendance, term grades, surveys, etc.), analyze data, and submit reports to the dean and campus partners.
      • Coordinate and participate in routine/frequent outreach activities with school administration and community-based organizations.
      • Ability to establish and maintain cooperative working relationships with staff and faculty, CSU administrators, student organizations, private and public agencies and others in committee work student advising and community contacts.
      • Serve as an advocate for students and independently determine approaches and techniques for troubleshooting and resolving challenges in completing the application process, obtaining necessary information or connecting with CSI-I Stanislaus students services.
      • Participate in and/or develop and present workshops to students on relevant success and resource topics determined by the dean.
      • Provide individual and group tours for prospective students and families.
      • Serve as the Stockton Student Support Services Coordinator.
      • Participate in Turlock and orchestrate a Stockton Campus Preview Day/Open House and Warrior Day.
      • Track, monitor, and report outreach activities including an analysis of return/benefits of activities and recommendations for future participation.
      • Proactively identify and create outreach opportunities (e.g. research events and register, request meetings/workshops for company/industry employees, internships, etc.).
      • Make outreach recommendations to the Dean and implement promotional strategies for academic programs.
      • Assist with the development and implementation of promotional materials for academic programs.
      • Develop and implement information sessions and assist with coordination and implementation of academic program orientations.
      • Coordinate and participate in regional career fairs, job fairs, and other community outreach events.
      • Assist with updating of academic program information and events on the website.
      • Serve on assigned committees to assist in the development and delivery of student outreach and orientation (e.g. Orientation Committee, Undergraduate and Graduate Advising, Admission. Commencement, etc.).
      • Provide admissions information to prospective and continuing students.
      • Use judgment and knowledge to recommend solutions to admissions related issues and procedures.
      • Serve as the primary liaison to both internal and external constituents on issues related to academic advising and outreach.
      • Assist students with admissions process.
      • Evaluate students and provide advising sessions at the request of students.
      • Review and interpret course requirements and evaluate transcripts from institutions of higher education to determine if students meet eligibility requirements for acceptance.
      • Determine whether students meet all eligibility requirements for admissions and graduation pursuant to university policy and guidelines. Remain apprised of any changes to these policies and guidelines.
      • Assist with evaluating newly admitted students at Orientation or within the first semester.
      • Serve on campus committees that might assist in the development and delivery of student admission services (e.g., Transfer Evaluation Processing/Pipeline).
      • Partner with Enrollment Services to design and execute an enrolment strategy for the Stockton Campus, Collaborate with student services, Academic Affairs, and community stakeholders and follow-up on prospective student leads.
      • Collaborate with other universities on new initiatives that might impact enrollment.
      • Participate in enrollment management efforts, including initiating and follow-up communication with prospective students.
      • Lead and direct Stockton Campus outreach, recruiting and enrollment efforts, including providing monthly advising sessions at local community colleges and serving on appropriate committees.
      • Hire and train student outreach ambassador(s) to assist in promoting the University and the Stockton Campus.
      • Create and maintain a prospective student lifecycle database and give regular updates to the Dean.
      • Serve as the point of contact between the Stockton Campus and the student through the enrollment process.
      • Other duties as assigned.

      Minimum Qualifications

      Education: Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.

      Experience: Equivalent of three years of progressively responsible professional student services work experience. (A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.)

      Salary Range

      Anticipated salary will be $5,025 – $5,779 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full SSP III range: $5,025 - $7,159 per month)
