JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University, Ross and Carol Nese College of Nursing is seeking an Administrative Support Coordinator 4 who is a positive, detail oriented, and organized individual to manage and coordinate daily operations and provide a high level of direct administrative and professional support in the operations of the Undergraduate Nursing Programs as well as the ability to perform a wide variety of administrative functions and complex tasks with minimal supervision.

The successful candidate will be responsible for the following:

  • Coordinate, prioritize, and maintain schedules, calendar, meetings, and appointments for the Associate Dean for Undergraduate Education and the Assistant Dean for Undergraduate Nursing Education at the Commonwealth Campuses.

  • Organize travel arrangements and reconcile travel expenses for supported administrators.

  • Manage the operational activities of the office, set priorities; establish and assign tasks; ensure schedules are maintained and deadlines are met; develop processes and procedures for Undergraduate Programs office.

  • Compose and edit correspondence, reports, publications, and presentations. Review and check documents for completeness, accuracy, and conformance with applicable guidelines/regulations and procedural requirements. Create surveys and distribute results.

  • Attend meetings and record, transcribe, and distribute meeting minutes. Prepare agendas, presentations, itineraries, etc. Research and compile background and supporting materials for meetings.

  • Create and maintain various spreadsheets – e.g. student course failures and dismissals – and use data to project enrollment and course section needs.

  • Act as liaison to internal and external contacts; answer inquiries and respond to and/or resolve issues. Communicate with internal and external customers and management to exchange information, resolve issues or concerns, and coordinate activities.

  • Research and resolve relevant inquiries. Collaborate with various internal and external University stakeholders. Analyze information for special reports, handbooks, resources, conference materials, etc.

  • Coordinate and/or manage and/or oversee a wide variety of projects and events such as seminars and workshops to include travel, lodging and meals. Plan and coordinate events such as the Annual BSN Faculty Retreat and New Faculty Orientation to include scheduling, reservations, invitations, publicity, tracking, etc.

  • Coordinate creation and distribution of student materials such as Plans of Study to include clinical rotation assignments, ATI materials, commencement activities and NCLEX and licensure processes.

  • Coordinate and maintain Faculty Peer Review process. Coordinate faculty annual review process and collection of faculty FARs for all undergraduate Nursing faculty at all Nursing Program campuses.

  • Provide support for special projects such as curriculum reviews, program reviews and grant support.

  • Hire, direct, supervise, and evaluate the work of the Undergraduate program administrative support staff, along with implementing and maintaining office management procedures.

  • Analyze administrative operating practices to create new systems or revise established procedures as needed and develop new processes or procedures relevant to support needs of the Programs.

  • Assist in management of the Department's spending and budgets.

  • Responsible for creating and overseeing the University Park and Hershey campus course offerings, working with faculty teaching schedules and workloads, scheduling courses and classrooms, reserving rooms, and monitoring enrollments.

  • Act as liaison with various College and University offices.

  • Interpret, communicate, and monitor academic/administrative policies and procedures; Resolve inquiries related to, and ensure compliance with, academic policies and procedures.

Education and Experience:

This position typically requires an Associate degree or higher plus 4 years of related experience or an equivalent combination of education and experience.

The candidate must have excellent interpersonal, oral and written communication and organization skills, the ability to work independently as well as in a collaborative team-based work environment while always maintaining confidentiality and professionalism. Proficiency with Microsoft Office 365 products (Outlook, Word, PowerPoint, SharePoint, OneDrive, Teams, Excel), Qualtrics, SAP Concur, WorkDay, WorkLion, LionPATH, CollegeNet, CIMS or similar software is preferred.
