Our Calhoun Cardiology Center is looking to add an Administrative Program Assistant II to our growing team. At UConn Health, this class is accountable for independently providing responsible administrative support, and/or significant program support for division faculty and staff. This position will provide administrative support in the Calhoun Cardiology Center located in Farmington, CT.


SUPERVISION RECEIVED:

Works under the general supervision of an employee of higher grade.


SUPERVISION EXERCISED:

May lead/supervise lower level employees as assigned.


EXMPLES OF DUTIES:

  • Coordinates administrative details for the department

  • Provides administrative support for professional staff

  • Directs the workflow, conducts the necessary administrative paperwork, maintains records and complex filing systems to support the department/program

  • Monitors expenditures; maintains, balances and reconciles a group of accounts

  • Arranges and coordinates meetings and functions, to include space and equipment

  • Maintains an inventory of supplies and equipment and purchases items when necessary

  • Processes department purchases through Husky Buy

  • Uses File Maker, Banner, REDCap, FAMIS and UCHC Warehouse systems

  • Makes travel arrangements; submits travel and mileage reimbursements

  • Composes complex letters, memos, correspondences, reports, bills, and drafts from rough drafts, transcription, dictated notes; proof reads for content; edits using knowledge of grammar, punctuation and spelling

  • Types grant applications from notes, determining appropriate information and format

  • Coordinates a variety of non-routine matters

  • Confers with and assists supervisor in the performance of administrative and program activities

  • Acts as resource person for department/program

  • Performs related duties as required


MNIMUM QUALIFICATIONS REQUIRED

KNOWLEDGE, SKILL AND ABILITY:

  • Considerable knowledge of office systems and procedures

  • Considerable knowledge of proper grammar, punctuation, and spelling

  • Knowledge of business communications

  • Knowledge of the unit's policies and procedures

  • Knowledge of business math

  • Interpersonal skills, oral and written communication skills

  • Ability to schedule and prioritize office workflow

  • Ability to operate a variety of office equipment

  • Ability to use complex computer programs


EXPERIENCE AND TRAINING

GENERAL EXPERIENCE:

  • Three (3) years’ experience above the routine clerk level in office support or secretarial work


SUBSTITUTION ALLOWED:

  • College training may substitute for the General Experience on the basis of fifteen (15) semester hours equaling one-half (1/2) year of experience


PREFERRED EXPERIENCE:

  • Experience with Microsoft Office including Outlook, Word, Excel and PowerPoint

  • Intermediate to advanced spreadsheet skills in the use of Microsoft Excel including the ability to create worksheets, tables, and formulas


SCHEDULE: Full time, 40 hours per week, Monday - Friday, 8:00 a.m. to 4:30 p.m., 30 minute unpaid meal break.
