Type of position: full-time; Monday-Friday- 8:00am to 5:00pm

Administrative Assistant


GENERAL DESCRIPTION OR SUMMARY:

Administrative Assistant performs a variety of administrative and clerical activities to facilitate the efficient operation of the organization. This individual is organized and resourceful with the ability to problem-solve and multi-task while providing administrative support to management and staff members.

ESSENTIAL JOB FUNCTIONS:

  • Ability to answer, screen and transfer multiple phone calls.
  • Greet customers, patrons and visitors and direct them to the appropriate persons.
  • Scheduling and confirming appointments and book travel arrangements.
  • Composing, proofreading and modifying documents, correspondences, reports, memos and emails.
  • Searching files, databases or reference materials to obtain and provide information as requested.
  • Performing other duties for different departments (i.e. Data Entry, Procurement)

QUALIFICATIONS, EDUCATIONAL SKILLS and EXPERIENCE:

  • High School Diploma or GED required; additional education is a plus.
  • One year or more of experience in similar field is required.
  • Attention to detail with analytical and problem‐solving skills
  • Proficiency in MS Office (MS Word, Excel, PowerPoint and Outlook) with the ability to quickly learn new systems.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
  • Ability to operate office equipment (printers, scanners, fax machines, multi-line telephone, cameras, etc.)
