Administrative Labor Coordinator

FLSA Status: Non-Exempt

Creative Technology, (CT) is accepting applications for Administrative Labor Coordinator Position. This position will be based out of our New Jersey facility. This person will become an integral and vital part of the Creative Technology Team.

At CT we have the resources and mission to be the premier provider of Audio, Video, LED and Lighting systems to the corporate staging, live performance and broadcast events industry nationwide. You will be joining a top team of professionals and managing world-class equipment packages and facility. It is a very demanding position which is engaging but exciting and rewarding.

The Administrative Labor Coordinator provides administrative assistance to Labor Coordinators by ensuring Freelance Technicians and Independent Contractors are paid for their time and expenses.

Job Duties:

  • Supports labor coordinators within CTUS.
  • Provides candidates DocuSign link to process new hire/rehire/independent contractor documents.
  • Reviews timesheets in the time and attendance system to ensure crew has entered their hours.
  • Forwards timesheets to Project Managers for approval.
  • Assists in collecting invoices from all Independent Contractors after an event.
  • Assists in reconciling Independent Contractor invoices.
  • Forwards audited invoices from Labor Coordinators to Accounts Payable to process payment.
  • Reconciles purchase orders for Corp credit card expenses.
  • Assists in confirming call times when needed.
  • Assists in communicating corrections needed to dates/times/positions in the system labor module.
  • Ensures Freelance information is up to date in the system.
  • Assists with the booking and coordination of crew travel when needed.
  • Other duties as assigned.


Required Education and Experience

  • 1 year of staffing and/or scheduling experience required.
  • Strong math skills.
  • Associates Degree in office management or in-depth industry and job specific skills acquired through on-the-job training.
  • Proficient in Microsoft Office suite.
