We are an established and growing restoration general contractor that specializes in rebuilding and restoring residential buildings after a flood, fire, or another natural disaster. We are seeking an Administrative Coordinator to join our team. United Property Restoration Services is committed to our CARE AT WORK philosophy providing our customers the expertise needed to recover and rebuild their property.

The Administrative Coordinator serves as the front-end receptionist for our Needham Heights office. This role is responsible for day-to-day administrative support, as well as providing support to our mitigation staff in the form of scheduling, reporting new losses, and other administrative tasks.
Role & Responsibilities:
  • Answer multi-line telephone and dispatch to appropriate parties.
  • Screen incoming calls as needed.
  • Greet and direct all visitors.
  • Create photo ID badges for employees using appropriate software and processes.
  • Send outgoing mail, including regular mail, certified mail, FedEx, UPS, etc.
  • Fax and copy documents as required.
  • Order office supplies as needed.
  • Maintain all office common areas ensuring cleanliness and organization.
  • Schedule office equipment repairs.
  • Support other departments with various duties as directed.
  • Take new losses including emergencies and coordinates scheduling/crews.
  • Execute clerical and general office duties Mitigation Team such as data entry, typing, copying, scanning, and other administrative tasks for special projects as requested.
  • Schedule appointments utilizing Microsoft outlook.
  • Schedule asbestos testing.
  • Assist Mitigation operations manager in documents, spreadsheets, and PowerPoint presentations.
  • Enter notes to XactAnalysis for program jobs.
  • Schedules appointments for estimating team.
  • Review and correct employee timecards for weekly payroll.
  • Perform other related duties as assigned.

Qualifications:
  • Two years of professional experience in a similar role with similar responsibilities.
  • Ability to multitask in a fast-paced work environment.
  • Excellent interpersonal and communications skills.
  • Knowledge of business practices and procedures.
  • Working knowledge of Microsoft Office and other related systems.
