Overview:
The Environmental Molecular Sciences Division (EMSD) is seeking an Administrative Coordinator to support a large and diverse technical group. The successful candidate will report directly to the Group Leader of the Environmental Transformations and Interactions Group. The incumbent will provide support to two team leads and their staff, consisting of scientists, post docs and student interns, working closely with other administrative coordinators and project coordinators. The incumbent will also provide 25% support to the EMSL User Support Office during the proposal call cycles. In addition, this position works closely with the EMSD division office administrator and management team.

Responsibilities:
Performs administrative and office support activities. Duties may include managing schedules, emails, and travel, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. More specific duties depending on discipline may also include development of required documentation and fielding questions from internal or external stakeholders.

Job duties and expectations include, but are not limited to:
  • Act independently and with maturity of judgment and confidentiality to analyze communications and situational events and take appropriate actions to pass information to other authority levels, both internally and externally, consistent with expectations.
  • Perform general administrative functions such as management and schedule of calendars; provide professional, consistent and reliable telephone coverage to assure clients and prospective clients receive human engagement and timely responses; and track key deliverables.
  • Create and maintain a strong network and establish positive working relationships within the EMSD administrative team as well as throughout the directorate and laboratory.
  • Make foreign and domestic travel arrangements, including managing frequent in-travel disruptions; troubleshoot and coordinate with the in-house travel representatives; and process travel-related expense reports.
  • Coordinate with key staff and other departments to host foreign and domestic visitors.
  • Develop and/or format agendas, correspondence, presentations and other documents.
  • Schedule and help with set-up/clean-up for meetings/seminars.
  • Update, maintain and track publications and other product in PNNL’s Information Release system.
  • Maintain and manage P-Card, eProcurement, and B2B purchases.
  • Perform administrative and office support activities.
  • Additional duties may include receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing.
  • More specific duties depending on discipline may also include development of required documentation and fielding questions from internal or external stakeholders.
Qualifications:
Minimum Qualifications:
  • High school diploma/GED and 6 years of relevant experience in an administrative environment -OR-
  • AA degree or higher and 4 years of relevant experience in an administrative environment
  • Experience in planning meetings and coordinating travel
Preferred Qualifications:
  • Must have the ability to adjust and adapt as needed in an ever-changing work environment.
  • Maintains a broad working knowledge of a wide variety of activities conducted by separate functions.
  • Must understand office support functions and possess the ability to effectively apply policies/procedures.
  • Must be able to identify potential administrative problems/areas for continuous improvement, recommend solutions and assist with directing implementation.
  • Must possess experience exercising a high degree of sensitivity and confidentiality when dealing with business and personnel information, events and activities.
