Provides administrative and clerical support for the Institute for Engaged Aging (IEA). Manages the purchasing needs and travel documentation for the members of the IEA. Assists the director of the IEA with special projects and administrative needs, and performs other duties as assigned.

JOB DUTIES:


45% - Essential - Office Management:
Activities include, but are not limited to: Serves as the front-line contact for guests and visitors to the IEA. Serves as the point person for general scheduling, helping to organize meetings and setup the relevant spaces, and coordinating maintenance issues at the IEA (including overseeing Prisma guidelines and policies). Provides administrative support to the director of the IEA. Manages outgoing and incoming mail. May also transport items between the IEA at Oconee Hospital, campus, and the IEA in Greenville. Maintains IEA welcome screen, and performs a review/updates the IEA website.

30% - Essential - Fiscal Management:
Liaison to the college business office. Compiles receipts, invoices, and other documentation for fiscal transactions. Serve as purchaser for Buyways and reconciles p-cards. Serves as a liaison to IEA members to advise on fiscal policy and procedures. Maintains and orders office supplies and equipment. Prepares deposits when required. Manages procurement according to state policy and procedures. Complies with Clemson University procurement policies.

15% - Essential - Personnel Support Services:
Coordinates personnel functions (i.e., hiring practices) for members of the IEA. Serves as point of contact for all personnel policies and procedures, serves as timekeeper for Kronos, and monitors and reviews time-card entries.

10% - Essential - Travel Coordination:
Coordinates and manages travel plans for members of the IEA (prospective faculty, staff and students). Advises travelers on proper procedures and allowable charges. Ensures that expenses are reimbursed to the traveler in a timely fashion.

MINIMUM REQUIREMENTS:


Education - High School or Equivalent

Relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.
