POSITION TITLE: Administrative Assistant to First Selectman

DEPARTMENT: First Selectman

DIRECT REPORT: First Selectman
NON UNION: 35 hours per week

JOB SUMMARY:

Performs highly responsible and confidential administrative work involving various activities for the First Selectman. Coordinate and perform administrative activities of the office. A high volume of interaction with the public using tact and diplomacy. Assist the First Selectman with communications regarding citizenry concerns. Able to make independent decisions in relation to day-to-day operations of the First Selectman’s Office.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Performs administrative duties for the First Selectman involving close internal and external contacts
  • Responds to citizen inquiries and complaints and follows up with Department Heads and/or the First Selectman regarding their resolution
  • Drafts correspondence for First Selectman in response to citizen inquiries and complaints, as well as internal administrative matters
  • Assist the First Selectman with Town related media relations and events for public service announcements
  • Implement agenda and packet for Town Council meetings
  • Act as liaison for Town Council
  • Supervise and coordinate part time staff
  • Update Town website as necessary
  • Plan, organize and coordinate the Town’s Annual Report
  • Other administrative responsibilities as designated by First Selectman

COMPETENCIES AND SKILL REQUIREMENTS:

Must possess the skills to be able to function in a fast paced, diverse working environment. Excellent communication skills including verbal, written, and electronic. Ability to meet and deal tactfully and effectively with administrative officers, employees and the general public.

Ability to operate a personal computer utilizing Microsoft Office, Word, Excel, PowerPoint, data entry, spreadsheets, computerized reports and utilize standard financial, personnel systems and operate standard office equipment.

EDUCATION/EXPERIENCE:

Associate’s Degree or equivalent educational program, or experience. A minimum of 2 years previous executive administrative experience. Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.

§ Must be able to interact and work in a cohesive team environment

§ Ability to read and interpret policies, rules, safety regulations

§ Communicate verbally and in writing

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to talk or hear. The employee regularly is required to stand, walk, sit, use hand to finger movements, handle or feel objects, or controls; and must be able to lift and/or moves up to 10 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

WORK ENVIRONMENT:

The work environment characteristics described herein are representative of those an employee encounters while performing the essential functions of this job. The employee must conform to all Occupational Safety and Health Act regulations. The employee is required to use safety in the performance of their job.

Job Type: Full-time

Pay: $49,623.00 - $65,878.00 per year
