Georgia State University Department of Conferences is seeking to hire an Administrative Assistant (Temp) to join our team. A large part of the Administrative Assistant (Temp) duties involves being a representative of the University and resource to residents and guests. As such, the Administrative Assistant (Temp) core responsibilities revolve around the concept of providing good customer service.

Administrative Assistant (Temp) Responsibilities Include:

General Office Duties

  • Be up to date on Georgia State University, University Housing and Conference Services policies.
  • Keep supervisor informed of appropriate information.
  • Maintain confidentiality about information regarding residents, guests or staff.
  • Manage Housing Residence Hall Meeting Space Reservation Calendar.
  • Daily use of Salesforce, Conference Host, Outlook, Microsoft Office Programs and other softwares and systems.
  • Orders and inventories office supplies and maintains office equipment.
  • Make referrals to the appropriate persons or on-campus offices.
  • Participates in scheduled staff trainings, workshops and retreats held each academic year.
  • Ability to multitask and completion of task in a timely and efficient manner.
  • Other duties as assigned.

Graphic Design

  • Design an array of promotional material for housing such as flyers, posters, advertisement, promotional items, housing collateral, product packaging and web article submissions.
  • Uphold institution identity, and maintain the visual brand.
  • Develop creative ideas and concepts choosing the appropriate media and style to meet the visual objective.
  • Meet with the Marketing Coordinator to determine the scope of a project.
  • Determine content and design meets university standards.
  • Incorporate changes recommended by the clients into the final design.
  • Review designs for errors before printing or publishing them.
  • Ensure that the integrity of housing is met and maintained across the board.

Marketing

  • Be thorough in knowledge of Georgia State University print media guidelines.
  • Assist with marketing research and implementation of marketing initiatives for housing and conference services.
  • Research outlets for free or cost-effective advertising in industry media publications or websites.
  • Attend Georgia State University Campus and Housing Events to assist with social media marketing, taking photos/writing content.
  • Daily Review of Social Media Feeds ensuring positive messaging and alerting Professional Staff of derogatory postings or concerns.
  • Update Housing website calendar with special events and pertinent housing dates and deadlines.

PR/Communications

  • In collaboration with PR/Comm Grad, maintains proper university and department graphic standards.
  • Assists in idea generation and execution of University Housing communications initiatives.
  • Coordinates research, writing and editing for publications, press releases, Web pages, newsletters, information campaigns, and other official University Housing communications with the PR/Communications Grad.
  • Assists in developing presentation materials and attends departmental and University events to interact with prospective and current students and answer questions.
  • Actively monitor and engage with all forms of Social Media (e.g., Facebook, Twitter, Instagram, etc.) that are subscribed to by University Housing.
  • Participate in online conversions, personifying University Housing in a positive, helpful light by listening to users, being sensitive to hot-button topics and issues and providing a solution whenever possible.
  • Collate/source information from University Housing and other Georgia State University departments in order to generate news-worthy stories and draft/write online copy for articles, posts, blogs, etc.
  • Assist PR Grad in researching and posting new content for key user audiences to maintain a positive, relevant presence for University Housing constituents.
  • Attend Campus and Housing events to capture photos and content for online media.
  • Maintains availability on all opening and closing weekends, as well as final exam weeks, for the fall, spring, and summer semesters, and assist central office staff with coordination and implementation of the resident check-in and check-out processes.

Staff Meetings and Training

  • Mandatory staff meetings are held during the semester, times and locations to be announced Meetings and training sessions may occur on nights and weekends and dates, times, and locations are subject to change. Some training sessions and special events. Administrative Temp are required to attend throughout the year include but are not limited to: Fall Training, Spring Training and Housing Transition Events.

Qualifications:

Minimum Requirements:

  • Bachelor's degree and two years of related experience; or high school diploma or GED and six years of related experience; or a combination of education and related experience.

Preferred Requirements:

  • Have experience in Administration, Customer Service, Graphic Design and Marketing/Communication.
  • Have minimal experience with social media content development and posting.
  • Participate in fall and spring trainings.
  • Strong Customer Service Skills.
  • Basic Microsoft Office Skills.
  • Demonstrate positivity and professionalism and the ability to work both in a team or independently.
  • Possess excellent communications skills, both oral and written.
  • Be highly organized with the ability to multi-task under tight deadlines.
