We are currently seeking an Administrative Assistant to join our team of highly qualified professionals that share our vision of Empowering Children to Conquer their World!

Pediatrics Plus is a highly collaborative pediatric healthcare provider. This role provides customer service and clerical support for therapy and preschool operations onsite at our Developmental Preschool.

What you will do:

  • Greets children and families as they arrive and direct them to appropriate areas as needed
  • Promotes a friendly atmosphere for families, staff and visitors
  • Receives phone calls for therapy and preschool operations. Answers questions/provides support as indicated or transfers call to appropriate department
  • Understands internal processes required for a patient to receive services
  • Checks in patients per protocol
  • Communicates with preschool personnel regarding any parent/visitor for the preschool
  • For initial evaluation or treatment session, provides Welcome Packet to family, assures payment is received per funding source, and processes all items as outlined in the Administrative Assistant Manual
  • Completes daily, weekly, and monthly tasks / reports as outlined in Administrative Assistant Manual
  • Updates appropriate software throughout the day and communicates evaluation cancellations to appropriate personnel
  • Understands various funding sources for therapy and assists in explaining to families
  • Obtains signed financial documents from families
  • Assists in communication with families and Financial Service Coordination when changes in funding occur
  • Makes needed corrections within deTaso as related to classrooms and therapy times
  • Processes paperwork between site and central administrative team as outlined in the Administrative Assistant Manual
  • Receives payments for therapy and preschool operations
  • Updates patient information and contacts as reported by families
  • Manages outgoing and incoming mail, scanning and distributing appropriately
  • Fulfills all requests for medical records
  • Makes badges for new employees and students
  • Orders supplies bi-weekly and stocks supplies as they arrive
  • Follows opening /closing procedures of facility
  • Assists site administrative support team in planning events for the site
  • Cross trains with Administrative Coordinator /Therapy Coordinator and ABA Coordinator
  • Assists with tours for families
  • Responds positively to feedback concerning job performance
  • Communicates any needs or concerns with administration
  • Upholds and incorporates the core values, vision, mission and philosophy of Pediatrics Plus into all job responsibilities
  • Displays an understanding of the leadership and management style of Pediatrics Plus
  • May perform other related and non-related duties, as assigned

Minimum Requirements:

  • High School Diploma / GED
  • 1+ year of Administrative Experience (preferred)
  • Strong organizational skills with attention to detail and accuracy
  • Basic computer skills which includes a working knowledge of keyboarding, database, word processing, spreadsheet, and Internet software
  • Ability to add, subtract, multiply, divide, in all units of measure using whole numbers, common fractions, and decimals
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form

Physical Demands: While performing the duties of this job, the employee is frequently required to talk or hear. The employee is regularly required to walk, sit, use hands to finger, handle, or feel, and reach with hands and arms. The employee is frequently required to stand and stoop, twist, bend, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include near and distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. The employee is required to maintain regular and punctual attendance. The employee is required to complete tasks in a timely manner.

Pay: $14.40 - $15.50 per hour
