Position Purpose

Rooted in the diocesan mission to Courageously Live the Gospel and approaching the Office of the Diaconate with the foundation of the USCCB’s statement “Co-Workers in the Vineyard of the Lord” and the NACPA’s position of “Just Treatment for those who work for the Church,” the Administrative Assistant provides all administrative levels of support to the part time Director of the Deacon Personnel and Prison Ministry and the part time Director of Diaconate Formation. Keeps them regularly appraised of ongoing communication within the office related to their area of concern, and to help plan and coordinate the regular and routine activities, events, and communications for both the Ordained Community and the Formation Community and those seeking assistance in Prison Ministry. The administrative assistant manages the files and records of the Office of the Diaconate and Prison Ministry.

Major Duties and Responsibilities

  • Process written, electronic, and telephone communication to and for the two supervisors as it relates to their individual responsibilities that regularly includes confidential, detailed, and systemized files, reports, and schedules for the ordained community as well as those aspiring to be ordained to the Permanent Diaconate
  • To manage routine processes and records as well as general and confidential files, websites, communications, on a daily, weekly, or monthly basis as established.
  • To respond to or interact with all the deacons, candidates and aspirants either cordially or officially as directed or requested.
  • To coordinate the planning and preparation and onsite coordination for diaconate events including any retreats, dinners, special meetings, continuing formation, or pastoral workshops.
  • To maintain the quarterly or annual reporting for ministry activity, education hours, agreements, certificates, faculties, or other routine reports.
  • To manage the necessary documents and information related to those in within the inquiry, aspirant, candidate process of Diaconate Formation.
  • To handle the processes related to faculties for Deacons of St. Petersburg asb well as managing inquires to those from outside the Diocese or seeking information about the Formation process.
  • At times provide administrative support to Diocesan Committees or Offices that may be part of either Director’s activities

Working Conditions:

Office hours generally starting by 9:00am with a lunch period. Workspace is a private cubicle with computer, phone, and files. Periodically has responsibility to be present for setup and registration at various diaconate events (some evenings or Weekends). There may be some light lifting, not to exceed 35lbs.

Collaborative Relationships

Directly, yet independently to the Director of Deacon Personal and Prison Ministry and to the Director of Diaconate Formation. Also, to the deacons and wives, pastors and priests, mentors, administrators, supervisors for Diaconate Formation, with the Office of the Bishop and other administrative departments within the Pastoral Center as necessary and with arch/diocese outside of St. Petersburg.

Qualities and Skills:

  • Demonstrated strong commitment to the values, mission, and ministry of the Catholic Church and the Catholic Diocese of St. Petersburg
  • High School graduate with some college level work.
  • Must be a self-starter and possess good decision-making skills to respond quickly and appropriately to inquiries and issues.
  • High level of computer skills, specifically MS Word and Excel. Typing speed at 60 wpm. Some PowerPoint or Publishing software.
  • Able to manage websites and social media like ZOOM and Constant Contact.
  • Must be highly organized, with exceptional phone skills and very hospitable and helpful.
  • Successfully complete a FDLE Level II Criminal Background screening and meet the minimum Standards of Moral Conduct of the Diocese. Complete Safe Environment Training.

Job Type: Full-time

Pay: $20.00 - $23.00 per hour
