Working directly with the Fire Rescue Chief and Deputy Fire Rescue Chief, this position is responsible for developing and coordinating diverse administrative and support activities. Nature of the work performed requires a professional manner in all dealings with the public and City and department staff. Work requires the exercise of considerable judgment, initiative, and discretion.

Examples of Duties / Knowledge & Skills

Some essential job functions include:


  • Provides a variety of day-to-day clerical and administrative support functions within the Fire Rescue Department, including assigned special projects.
  • Provides friendly and responsive customer service via the phone, in person, by e-mail, and via written business correspondence.
  • Screens calls, visitors and mail; responds to sensitive requests for information and assistance; interprets City policies, rules and regulations in response to inquiries and complaints.
  • Performs document research and organizes and maintains accurate and complete filing systems; reviews and assists in the preparation of various reports; and periodically expunges City records in accordance with the Illinois Records Retention/Local Records Act guidelines.
  • Manages social media and website postings.
  • Organizes and coordinates Freedom of Information Act (FOIA) requests.
  • Provides support to the Fire Rescue Department Public Education Program.
  • Conducts quality control of ambulance billing entries for third party processing.
  • Performs Notary Public duties.
  • Provides support to emergency management training including incident action plans.
  • Cross trains with department’s other Administrative Assistant in common functional areas and duties in order to provide back-up support in their absence.

Minimum qualifications & Requirements

The successful candidate must possess excellent verbal and written communication skills and have proven technical skills in various software applications including Microsoft Office Suite. The candidate must also have outstanding organizational and time management skills, and be detail oriented with multi-tasking capabilities in a fast paced environment. Excellent customer service skills, including the ability to deal tactfully with the public and a high level of integrity in dealing with confidential and sensitive information is essential.

This position requires a high school diploma or equivalent supplemented by a minimum of four years of previous experience or specialized training in an administrative support function or professional office environment; previous experience in local government and/or administrative experience in a fire service agency is preferred.

Supplemental information

Hours are 8:00 a.m. – 5:00 p.m. Monday through Friday. Starting salary range is anticipated to be between $23.88 - $26.00 per hour, dependent on qualifications, with a competitive benefit package.
