We are currently looking for Administrative Assistant, Customs & Imports in our distribution center in Secaucus, NJ

The Import & Customs Assistant is responsible for supporting the delivery of incoming goods and ensuring that the Company complies with customs regulations by tracking and documenting shipments, advising clients, categorizing shipments by tariff coding system, and using appropriate packaging to prepare items for shipment.

The Position Mission/Expectation

  • Confirm order placement to suppliers.
  • Track shipment(s) daily and address delivery issues with relevant parties (suppliers, customs, transporters).
  • Work in conjunction with customs brokers to ensure all required customs clearance procedures and documentation are complied with.
  • Check conformity of import documents for correct values, commodity classifications, tariff codes and authorizations, and record delivery in SAP.
  • Participate in the creation of reports or records concerning potential or verified matters of non- compliance.
  • Assist with internal and/or external audits and assessments.
  • Identify payment discrepancies and prevents invoicing errors.
  • Maintain records of import and export shipping documents to ensure accuracy and compliance with regulatory requirements.
  • Keep current with local import/export regulations.
  • Preparing daily activities including customs clearance documents, submitting entry summary and electronic invoices to CBP (U.S. Customs) and files ISF (Importer Security Filing), answering emails, preparing delivery orders, and coordinating the pickup and delivery of cargo.
  • Receiving, reviewing, and processing import documentation for an assigned base of accounts.
  • Processing documents through the system and interface and providing updates and communications for internal and external customers to produce timely and compliant transactions.
  • Coordinating the release of goods from the carrier, Customs or other governmental agency examinations that may be required.
  • Tracing key transaction information such as HBL, commercial invoice, and other required documents to determine if record is available.
  • Learning and applying U.S. Government regulations (ie. ISF, Customs clearance)
  • Coordinating shipments with Consignees and Brokers
  • Corresponding with overseas agents and clients
  • Developing and maintaining excellent customer service to internal and external customers.

The Ideal Candidate

  • Very detail oriented
  • Organized
  • Excellent communication skills (Bilingual preferred English-Spanish or English Italian). Ability to multi-task while being attentive to customers and remaining flexible to the needs of the business. Ability to work as part of a team and take initiative independent of direct supervision.
  • Proficient in excel but with a good knowledge of Microsoft Office
  • Strong interpersonal, communication, organization and follow-through skills.


The Qualifications

  • High School Diploma or equivalent
  • Minimum of 1-2 years’ previous work experience in freight forwarding or import clerical.
  • Exceptional team building and people skills.
  • Proficient in Microsoft Office


The Essentials

  • Physical requirements: This position involves constant moving, talking, hearing, reaching, grabbing, standing for extended period of time; may occasionally involve stooping, sitting, kneeling, crouching and climbing step stools. Involves lifting of at least 30 lbs.
  • Regular and reliable attendance, normally on a 5-day-a-week, full time schedule (40 hours)
