Position Summary:

Alaska Sea Grant is seeking a half-time administrative assistant for our downtown Anchorage office. This position will perform general office management duties for our Anchorage office as well as procurement, fiscal administration, and event planning support.

Duties:

1-50Procurement: Serves as departmental Procard coordinator and provides training to staff and faculty on rules and regulations for program. Duties include purchasing items for faculty and staff on the departmental card, monitoring receipts, advising other employees on allowable purchases, maintaining departmental logs and monitoring monthly Procard statements. Reconcile credit card statements and allocate the default purchase account to appropriate accounting categories. Make adjustments to budget accounts according to established UA procedures by completing journal vouchers as needed.Essential
2-30Fiscal Administration: Maintain familiarity with grants and restricted fund management in regards to purchasing. Perform due diligence and work with faculty/staff on issuing rental space agreements, catering contracts and unauthorized purchases. Prepare invoices, requisitions, honorariums, employee reimbursements, deposits and purchase requests.Essential
3-10Office and Meeting Coordination: Coordinate Anchorage-based office space, meetings and special events and make arrangements including room reservations, agenda, background info, participant invitation and RSVP, nametags, supplies, parking and food. Coordinate the use of facilities, services and equipment. Work in close collaboration with the Alaska Sea Grant event coordinator and program administrator.Essential
4-10Human Resources and Fellowship Administration: Prepare Draft fellowship award letters. Gather required paperwork (w9s, photo releases, direct deposits, memo of agreements). Enter direct pay encumbrances in Banner. Submit packet request to Accounts Payable. Support timesheet reporting, creating and updating spreadsheets for tracking and reporting purposes. Assist with coordination of hiring/recruitment activities and effort certification.Essential

Knowledge, Skills, Abilities:


  • Demonstrated ability to organize and prioritize fiscal management responsibilities.
  • Solid knowledge of accounting practices and experience with electronic fiscal software used in a university setting, including spreadsheets, data management systems, Banner, etc.
  • Ability to coordinate all aspects of event planning.
  • Ability to analyze situations and solve problems independently.
  • Ability to communicate effectively.
  • Ability to maintain confidentiality.
  • Ability to establish and maintain files and recordkeeping systems.

Typical Experience:
Three years progressively responsible office/administrative experience, or an equivalent combination of training and experience.

Required Education or Training:

High School graduation and three years office/administrative experience or an equivalent combination of training and experience.



Salary Information:

This is a part-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 78, based on education and experience.
