Position: Senior Administrative Assistant/Executive Assistant

Department: Administration

Reports To: Chief Clinical Officer/CEO


Job Summary: Responsible for providing high-level administrative support to the Chief Clinical Officer / Chief Executive Officer (CCO/CEO), President, and other assigned senior leadership staff at THIRA Health. Exercise independent judgement, handles sensitive issues with discretion, and utilizes critical thinking and problem-solving skills on a routine basis.


Essential Job Duties
:

  • Serves as the key point of contact to the executive team for employees, patients, consultants and external contacts
  • Manages executive calendars, schedules and confirms meetings, and creates agendas as required
  • Creates, formats, edits, standardizes and maintains document templates; ensures consistent application across the organization
  • Manages task lists and priorities; ensures timely completion of delegated assignments
  • Reviews incoming communication/memos assigned to senior staff; summarizes and/or distributes priority, time-sensitive and confidential contents to appropriate staff
  • Responds to routine requests and documents on behalf of executives
  • Maintains OneDrive file structure, post documents to SharePoint, and manages version control
  • Archives superseded documents, ensure proper disposal of proprietary or confidential documents
  • Creates and distribute internal communications
  • Gathers status updates and project reports across entity on behalf of executives; implement and maintain tracking systems, generate reports and metrics
  • Monitors MS TEAMs and responds to routine inquiries on behalf of executives; escalates incoming posts as needed
  • Manages Executive meeting agendas; takes notes and distributes minutes
  • Arranges travel and accommodations; makes and confirms reservations, reviews and approves invoices
  • Enters executives’ expenses in accounting expense software
  • All other coverage, duties and special projects as assigned

Qualifications:

  • Associate’s degree in Healthcare Administration, Psychology, Business, Public Health, or related field preferred
  • Prior experience as an Executive Assistant, Administrative Assistant or related providing individual and/or team administrative support required
  • Must possess strong computer literacy and working knowledge of Microsoft Office applications, as well as working knowledge of OneDrive/Sharepoint, PandaDoc and Adobe Sign
