The Housing and Residential Education staff at the University of Denver provides housing and support services for 3000+ students living within University housing. Position Summary

Under the supervision of the Senior Associate Director of Residential Education, the Administrative Assistant provides administrative support for Housing & Residential Education (HRE) and triages outreach from students, parents, families, and campus partners.

The Administrative Assistant is primarily responsible for responding to telephone calls, emails, and in-person inquiries. This position serves as one the HRE’s customer service relations staff. As such, the Administrative Assistant will manage and resolve complaints, refer constituents to appropriate campus resources, and provide clarity about the HRE’s policies and procedures. This role will provide support to the Housing Operations team in regard to educating and supporting constituents regarding housing related processes. The Administrative Assistant will also support the coordination of HRE’s events and University events that require HRE’s presence, including, but not limited to move-in/out days, resource fairs, and open houses.


Essential Functions

Administrative Support

  • Monitor and respond to inquiries made to the department’s email accounts, including the main departmental account and housing assignments account.
  • Utilize departmental software, including StarRez, to accurately respond to and document inquiries.
  • Assist with the management of calendars and scheduling appointments for the central office staff.
  • Manage room reservations for meeting spaces within the department’s purview.
  • Request and follow-up with facilities and maintenance needs for the department.
  • Assist the Office Coordinator with the timely completion of projects and assignments related to front desk and departmental operations.
  • Review the departmental website for information and editorial needs.

Customer Relations

  • Maintain a high level of communication and customer service with campus partners, students, families, and external sources.
  • Triage communication and concerns from including but not limited to, students, families, and campus partners, deescalating and referring as appropriate.
  • Refer students and families to appropriate campus partners and resources.
  • Review external requests for marketing within residential spaces, such as flyers, door hangers, etc.

Departmental Responsibilities

  • Collaborates and develops working relationships with key campus partners, including but not limited to: Information Technology, Department of Campus Safety, Student Rights and Responsibilities, Office of the Vice Chancellor, Office of Student Engagement, Fraternity and Sorority Life, Parent and Family Programs, Health and Counseling Center, Living & Learning Communities, and other University-related services.
  • Attend events and programs sponsored by the department and/or the Division of Student Affairs and Inclusive Excellence, including those that periodically occur on weekends and evenings.
  • Other duties as assigned.

Knowledge, Skills, and Abilities

  • Ability to become familiar with housing software systems, such as, StarRez and Microsoft Office suite.
  • Attention to detail, with a highly organized approach to data/project management.
  • Understanding regarding university housing, and front desk operations.
  • Ability to analyze and interpret data, processes, and needs based on limited information; research and communicate solutions.
  • Strong written and verbal communication skills.
  • Excellent collaboration and interpersonal skills along with the ability to work with a diverse population of administrators, faculty, staff, students and external constituents.

Required Qualifications

  • Demonstrated record of building collaborative partnerships with colleagues and key stakeholder groups
  • Operational experience
  • Evening office hours and occasional weekend commitments are expected

Preferred Qualifications

  • Associate degree with 1-2 years of experience in an administrative role
  • Experience working in university housing or student residential facility

Working Environment

  • Standard office environment.
  • Unexpected interruptions occur often and stress level is moderate to high.
  • Noise level is quiet to moderate.

Physical Activities

  • Ability to sit in front of a computer for an extended period of time.
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule

Monday - Friday, 8:00 a.m. - 4:30 p.m. with some nights and weekends.

Salary Grade Number:

The salary grade for the position is 6.

Hourly Range:

The hourly range for the position is $20.00-$23.00.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
