The Administrative Assistant is responsible for performing a wide range of administrative activities to support the efficient operation of the organization. They are responsible for providing high-level administrative support to ensure the efficient operation of the organization, ensuring quality standards, safety guidelines, and stakeholder expectations are met.

  • Maintain Serengeti Care Partner’s Mission, Vision, and Values by establishing and maintaining trusting partnerships with stakeholders, providing enhanced administrative support services, and embracing the organization’s guiding principles.
  • Effectively manage the front desk by answering a multiline phone system, greeting guests upon arrival, and maintaining an organized, clean office environment –
  • Provide accurate, valid, and complete information by using the right methods/tools
  • Identify and assess customers' needs to achieve satisfaction
  • Take note of any grievances and disperse to appropriate managers per grievance policy and procedure
  • Open, sort, and distribute incoming mail and correspondences to designated departments or individuals
  • Regularly run company-related errands, including the post office, bank, and office supply store when needed
  • Provide support to senior leaders by preparing, modifying, typing, and distributing administrative documents, including meeting notes, routine correspondence, presentations, and reports
  • Ensure optimal use of equipment (i.e., printers and copy/fax machines) through preventive maintenance and supporting staff with troubleshooting; completing network form requests when a repair is necessary
  • Manage inventory of supplies for various departments to ensure optimal stock levels; place orders as needed by following the supply ordering protocols
  • Support with event planning and coordination including, communication, booking travel, venue, ordering supplies, and expenses associated with event
  • Maintain organization of electronic communications & file physical documents appropriately
  • Maintain working knowledge of the Serengeti Care Partners policies and processes and support colleagues inqueries
  • Note taking, maintain detailed minutes of Commitment to Excellence meetings and additional requested meetings by senior management. Occasionally support in note taking for other meetings
  • Support in gathering data for various reports
  • Support senior leaders with travel accommodations, including booking flights, cars, hotel, or restaurant reservations when requested.
  • Maintain a safe and clean work environment to support the organization, sanitation, health, and safety standards of Serengeti Care Partners.
  • Performs other duties as assigned.

Job Type: Full-time

Pay: $21.00 - $22.00 per hour
