POSITION SUMMARY The following duty statements are illustrative of the essential functions of the job and do not include other non-essential or marginal duties that may be required. The County reserves the right to modify or change the duties or essential functions of this job at any time. Will be responsible for attending to the needs of visiting customers and receive incoming telephone calls to direct/forward as needed. Will assist with updating department records, compile reports and data as needed. Will assist the department managers as needed to maintain day to day office administrative operations. This is primarily an eight-hour per day, Monday through Friday position; occasional evening and weekend hours will be required. The position will function with considerable independence. Employee may be responsible for research, compilation and organization of materials for administrators. Position will independently research, analyze and compile information to prepare reports. May compose correspondence for supervisor and other department managers, format/type a variety of executive, sensitive, or confidential documents.

MAJOR DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Works under the general supervision of the department manager. At times, has a major role in coordinating administrative activities which requires frequent contact with administrators, the public, other agencies and government officials. Utilization of effective public relations and liaison skills. When directed, attends meetings for administrators to relay and collect information. Ability to work with the public courteously and effectively under stressful circumstances. Ability to establish and maintain effective working relationships with county employees, county officials and general public. Develop and maintain a good understanding of organizational awareness and teamwork. Compile and maintain records of business transaction and department activities. Provides information to customers and department personnel as directed. Prepares, issues and sends out receipts, bills, policies, invoices, statements and checks as directed. Operates and maintains office equipment; operates a computer terminal to input and retrieve data, and is also responsible for notifications of copier repairs, and ordering copier toner supplies. Maintains office supply room, ordering supplies as needed, monitoring purchase log. Greets callers and walk-in customers, determines nature of business and directs customers to proper destination and, when required, records name, time of call, nature of business and person called upon. Accurately draft and type memos, correspondences, reports and other documents as needed. Issues secure visitor’s pass when needed and directed by supervisor. When directed, schedules appointments for administrators. Collects and distributes mail and messages as needed. Assists with departmental ceremonies and functions. At times, may be required to operate a department motor vehicle at the request of administration. Any additional duty or responsibility as deemed necessary by supervisory personnel.

QUALIFICATIONS Education and Experience High School Diploma/GED Certificate – Required Associate Degree or greater from an accredited college or technical school in related field is preferred. Five years’ experience in related field of administration is preferred. Any combination of education, training, and experience that provides the required knowledge and skills is acceptable.

Certificates, Licenses and Registrations A valid Driver’s License and fingerprinting must be on file. Pre-employment testing includes drug and alcohol, an acceptable current motor vehicle report and background check. Knowledge, Skills and Abilities Must be friendly, personable and customer-focused both internally and externally. Excellent written and oral communication skills. Exceptional organizational skills and ability to maintain office cleanliness. Knowledge of Microsoft Windows and Office required; ability to type at the rate of 50 words per minute preferred. Knowledge of office equipment, including multi-line telephones, computers, printers, copiers, scanners and fax machines.

OTHER REQUIREMENTS The following are some of the physical demands commonly associated with this position. Mostly sedentary work involving standing, bending, reaching or walking for brief periods. May exert up to 20 pounds of force on a regular basis and considerable dexterity in operating office equipment. Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices such as the telephone. Constant user of eye, hand and finger coordination enabling the use of automated office equipment/machinery. Visual capacity enabling constant use of computer equipment.

Job Type: Full-time

Pay: $36,000.00 - $43,000.00 per year
