Essential Job Functions
The Administrative Assistant supports the staff and operation of the Office Advising & Academic Support (OAAS).

Responsibilities include but are not limited to the following:
  • Serve as a first point-of-contact for OAAS, Health Professions Advising (HPA), and Leon Levine Hall of Health Sciences (LLHS).
  • Respond to electronic requests, telephone calls, walk-in visitors, and those with appointments. Answer questions and process requests regarding change or addition/deletion of majors, catalog year, minors, etc.
  • Maintain accurate records, including assigned faculty mentors and academic advisors.
  • Answer questions regarding commencement, Beaver College of Health Sciences (BCHS) programs, OAAS and HPA services, LLHS spaces, faculty mentoring, and basic advising issues.
  • Collaborate with OAAS staff and BCHS Dean’s Office staff to ensure a seamless and pleasant experience for students, parents, and other visitors.
  • Route visitors and callers to appropriate resources within the office or university community in a friendly, professional manner.
  • Staff front desk when needed.
  • Supervise student employees, including supervision of the Leon Levine Hall of Health Sciences Welcome Desk and Atrium, as needed.
  • Complete all purchasing and travel authorization forms for OAAS.
  • Manage the OAAS websites.
  • Assist with LLHS tours and events such as commencement, open house, and orientation.
  • Actively support the OAAS strategic plan.
  • Assist executive director with a variety of projects, including setting up annual office events calendar and event planning.
  • Other duties as assigned.

Knowledge, Skills, & Abilities Required for this Position
  • Knowledge of university policies and procedures especially those pertaining to graduation, retention, and student success.
  • Familiarity with university purchasing procedures and processes.
  • Familiarity with travel policies and forms.
  • High level of comfort with the Banner Student module, Google G-Suite, DocuWare, and DegreeWorks. Experience and confidence in learning and using technology tools.
  • Demonstrated ability to work independently and as part of a team.
  • Ability to be a strategic thinker and dynamic self-starter.
  • Ability to maintain highly dependable customer service.
  • Excellent verbal and written communication skills.
  • Strong organizational skills, including attention to detail.

Preferred Qualifications
  • Experience working in an academic and/or student services environment.
  • Experience supervising, training, and/or leading other employees.

Information/Records Administration: Utilizes, reconciles and manipulates data for management reports from different internal and external sources. Applies an understanding of the information in order to extrapolate key data elements. Maintains databases. May serve as a lead worker.

Communication-Written: Independently composes letters, memos and reports requiring research and presents data accurately to support findings. Responds to inquiries, which require written explanation or interpretation of established policies, procedures and programs. Reviews sensitive materials and edits content constructively.
