This is a full-time, permanent Administrative Assistant 3 position.

As an Administrative Assistant 3 in the Immunization Information System (IIS) section, you will provide high-level administrative and program support to the IIS Section Manager and section staff.

Responsibilities include, but are not limited to:
  • Performing administrative duties delegated by the IIS Section Manager.
  • Managing administrative operations for the Office of Immunization to ensure coordination and efficiency in administrative functions and compliance with regulations and procedures.
  • Serving as the Records Retention Coordinator.
  • Assisting with emergency response activities as assigned during a public health emergency.

The duty station for this position is in Tumwater, WA. Telework (mobile-work) is currently expected. When approved, the incumbent is expected to report to the duty station for work activities. Partial telecommuting may be an option subject to supervisory approval. It is anticipated that the incumbent would be expected to report to the Tumwater duty station for work activities 2 days monthly. This would need to be a conversation between the hiring supervisor and the incumbent.

Required Qualifications

  • Three (3) or more years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
  • Experience using MS Word to create, format, and edit tables, columns, and charts; import data and sort tables; insert and format sections; and create headers and footers.
  • Experience using MS Excel to create and manipulate large or complex spreadsheets; use complex mathematical formulas to calculate data and link worksheets; import data from other sources, filter lists; and create and format charts and graphs.
  • Experience using MS Outlook to compose, send, and respond to email, and to coordinate schedules and schedule meetings.
  • Basic understanding of virtual conference tools such as Microsoft Teams or Zoom.

Desired Qualifications
  • Experience working in an infectious/communicable disease public health program.
  • A bachelor’s degree or higher in public health, health care administration, public or business administration, or allied field.
