Job Summary:

The Administrative Analyst Specialist will be dedicated to the analysis of data for Academic Success and Undergraduate Advising (ASUA), advising and academic testing for the campus community. In addition, the incumbent will administer all gateway and make-up tests. There has been a growing need for both services since we returned from working remotely.

Major duties and responsibilities

Program Administration

  • Oversees all aspects of make-up and gateway test programming.
  • Research, design and implement various systems to support academic testing operations.
  • Testing schedule consists of some Saturdays, as well as evening exams.
  • Provides logistical planning for exams, ensures heating/air, technology and space requirements are sufficient to meet the needs of the program.
  • Ensures protocols for testing are being strictly adhered to before, during, and after exam administration.
  • Consults with various on-campus departments regarding all testing services on campus.
  • Develops testing schedule, after analyzing campus needs, results from previous years, changes required by new Executive Orders from the CO and needs from other campus units.
  • Responsible for creation of training and resource support programs for students and faculty, including workshops, fliers, and training materials and modules.
  • Learn, interpret, and apply a wide variety of policies and procedures relating to and impacting academic testing.

Data Analysis

  • Oversee various databases, including, but not limited to undeclared, super senior, probation, 4-year/2year pledge and basic skills. Enter Academic Contracts and academic plans for 4-year/2-year pledge into the databases.
  • Run queries/reports for advisors/coordinators of Advising and Academic Services.
  • Update Peoplesoft including academic standing and service indicators. Notify students of their academic standing or service indicators they may have.
  • Develop on-line modules for various programs in AAS.
  • Performance of a variety of administrative, technical, and analytical duties of limited to moderate complexity and/or day-to-day administration of a program within an organizational unit under general supervision. Work activities relate primarily to operations and procedures.
  • Work is usually limited to immediate organizational unit but may coordinate projects within or with other units. Assignments require handling of multiple work priorities and accountability for own work results.
  • Assignments regularly require the use of independent judgment to make decisions, interpret, and apply a wide range of policies and procedures related to the program area and/or administrative specialties. Standard procedures and practices are followed.
  • A wide range of administrative problems related to day-to-day work unit and program operations will require solutions. Precedents may often be relied on to determine appropriate solutions.
  • Typically, the work requires limited innovation, but some ingenuity may be used to meet new needs.
  • The work focuses primarily on own work assignments and projects, rather than lead work direction.
  • Duties may include overseeing clerical operations and providing lead direction to support staff.

Design, Plan and Committee

  • Contributes to the completion of broader and more complex organizational and programmatic projects or goals.
  • Conducts outreach to faculty to develop and maintain faculty partnerships.
  • Analyzes and addresses problems through the interpretation and application of theories and principles to devlop and recommend alternatives.
  • Serves on a variery of on- and off-campus committees as it relates to academic testing.
  • Represents the work unit on key projects within CSUSB and within the CSU system.
  • Provides test planning, logistics, protocol, and execution expertise to other on-campus units for exam administration that will yield data the university can use to improve student outcomes.
  • Represents CSUSB at conferences and campus events.
  • Plans and develops marketing and branding efforts geared towards internal and external campus partners.

Evaluation

  • Assists AVP for Academic Success and Undergraduate Advising with test data analysis.
  • Compiles, analyzes and interprets monthly, term and annual testing data to inform future programming.
  • Makes recommendations to university officials regarding the effectiveness of both make-up and gateway testing.
  • Evaluates current testing policies to ensure equity-minded practices and determine efficiency and effectiveness of such procedures.
  • Ensures compliance and alignment with the mission and standards of both make-up and gateway testing.
  • Designs most office publications related to testing to explain and interpret CSU and university policies regarding testing issues and to facilitate student participation in testing programs.
  • These publications include: contributions to the campus bulletin, creation of test fliers, forms, online registration, appointment cards, posters, signs, recruitment emails, and letters as well as all electronic materials posted by Academic Scheduling.
  • Responsible for creation of training programs for new test proctors, including recruitment materials, applications, training materials and modules.

Minimum Qualifications: Required Education and Experience

  • Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Two years of related experience.

Required Qualifications

  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications.
  • Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.

Compensation and Benefits:

Anticipated Hiring Range: $5287 per month

Classification Salary Range: $4170 - $7545 per month

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year.
