Position Description

The Accounts Receivable and Purchasing Specialist is responsible for managing student billing, facilitating collections of student accounts, processing tuition and donation payments, coding and inputting transactions in Quickbooks, and supporting the school’s purchasing functions.

Key Duties and Responsibilities

  • Handle all aspects of student billing and revenue tracking.
  • Monitor accounts receivable balances and communicate with families as necessary to facilitate timely collection/settlement of student accounts.
  • Record and reconcile all cash receipts maintaining proper documentation and journal entries.
  • Collaborate with the Advancement Team to record and reconcile pledges, payments, and charitable giving from all constituents.
  • Provide program support including sourcing/procurement of supplies, copier equipment maintenance, and utilization of Title II/IV funding sources.
  • Assist with preparations for the annual audit and preparing/monitoring school budgets.
  • Knowledge of Business Office daily processes to back-up or support other functions (accounts payable, dining cashier, credit card, filing, packages).

Qualifications

  • 3+ years of accounts receivable or equivalent work experience required.
  • Proficiency with Quickbooks 2020 (2 years experience required, 3+ years preferred).
  • Bachelor’s degree in accounting, business administration, or equivalent and basic understanding of nonprofit accounting preferred.
  • Proficiency with technology, including copier equipment, accounting software, and Microsoft Office, especially Microsoft Excel.
  • Effective communication ability, analytical skills, and attention to detail.
  • Ability to prioritize and manage multiple projects to meet deadlines.
  • Prior experience with G-Suite applications preferred.
