Job Description
GENERAL STATEMENT OF FUNCTION: The Accounts Payable Clerk is responsible for assisting with the payment of college expenditures and maintenance of vendor records and paid invoice files. This position reports directly to the Assistant Comptroller.

Job Duties
DUTIES AND RESPONSIBILITIES:

General Duties:
  • Adhere to all College policies and procedures.
  • Adhere to State and Federal laws and regulation.
  • Maintain an effective working relationship with college personnel, students and the community.
  • Attend to details and perform at high rate of accuracy.
  • Upgrade skills level and performance through professional development.

Specific Duties:
1. Accurately and efficiently process vendor invoices and purchase orders for payment in the College’s ERP system.
2. Maintain a good working knowledge of the Accounts Payable module of the College’s ERP system.
3. Participate in training as needed to maintain skill level required to successfully perform duties.
4. Verify accuracy of vendor checks generated prior to distribution.
5. Assist with preparation of 1099 tax forms annually.
6. Research and resolve issues with purchase orders, inventory forms, receiving documents and other questions that arise.
7. Communicate with vendors regarding invoices and purchase orders.
8. Communicate with campuses/locations regarding purchase orders, invoices, and receiving of purchased items.
9. Maintain a high level of customer service to both vendors and employees.
10. Maintain accurate and organized vendor files.
11. Response to phone and email inquiries regarding college expenses in a timely manner.
12. Assist Accounts Payable Manager with information for year-end audit.
13. Add new vendors, process and maintain W9 forms, and maintain current vendor list in ERP system.
14. Assist with processing of procurement card vouchers from campuses.
15. Assist with processing payment to procurement card company through ACH transaction.
16. Assist in distribution and mailing of vendor checks.
17. Assist with maintaining purchase order log book recording sequential purchase order numbers.
18. Maintain efficient accounts payable workflow while meeting deadlines.
19. Maintain a strong work ethic with the ability to work both independently and as a team member.
20. Other duties as assigned by Assistant Comptroller.

Mandatory Qualifications
(M1) Minimum of an Associate’s Degree from an accredited institution; (M2) Demonstrated competency in technology; (M3) Minimum of two years experience working on an office environment; (M4) Excellent interpersonal communication skills.

Desirable Qualifications
(D1) Prior experience with Accounts Payable processes; (D2) Prior experience working in a community college setting; (D3) Experience with the ERP system, Banner.
