Position Summary:

The Accounts Payable Assistant reports to our Accounts Payable Specialist and interacts with our CFO. This position works closely with and primarily takes direction from the Accounts Payable Specialist. This position is responsible for routing and processing vendor invoices within our accounting system, and facilitating the development and maintenance of our accounts payable controls and procedures.

Essential Functions:

  • Gather and sort documents and related information in preparation for invoice entry.
  • Obtain invoice approvals.
  • Verify that quantities and unit prices stated in vendor invoices match corresponding purchase orders or other supporting documentation.
  • Mail accounts payable checks.
  • Help establish new vendor accounts.
  • Reconcile vendor monthly statements.
  • Attach approved invoices/POs to vendor batches & checks.
  • Communicate and respond to inquiries from vendors, employees, and management to resolve questions.
  • Use Excel to prepare daily management reports and ad hoc reporting & analysis for management.
  • Assist in preparation of various tax related filings (1099, sales & use tax, etc.).
  • Maintain airtime contract database and ensure contracts are properly entered, tracked, and filed.
  • Participate in special projects and initiatives and provide general support to Finance Department, or Administration, as needed.
  • Verify transaction information, accruals, and customer or vendor details to invoices.
  • Assist in preparing financial reports by collecting, analyzing, and summarizing account information and trends.
  • Help maintain accurate general ledger accounts by posting accounts payable transactions, accruals, and other journal entries on a daily/weekly/monthly basis.
  • Verify accounts are correct by reconciling statements and transactions.
  • Resolve account discrepancies by investigating transactional data and recommend making any necessary adjustments.
  • Meet monthly closing deadlines for accounts payable.
  • Frequent interaction with vendors.
  • Prioritize vendor payments.
  • Maintain financial security by following internal accounting controls.
  • Contribute to team effort by accomplishing related results as needed.
  • Save pdf copies of vendor invoices and supporting documentation in accounting system.
  • Further develop and maintain list of recurring vendors used to book vendor accruals.
  • Upload and, after approval, post vendor invoice data into accounts payable system.
  • Maintain list of TV and radio vendor monthly invoice data, and reconcile monthly to general ledger.
  • Workload increases in period leading up to Spring & Fall national rallies and annual Christmas program in New York.
  • Other duties as assigned including various clerical tasks.

Requirements:

  • High school or equivalent is required
  • Minimum of 3 years Accounts Payable experience is preferred
  • Intermediate to Advanced MS Excel
  • NetSuite experience a plus
  • Basic use of MS Word for correspondence
  • Experience with accounting software, preferably non-profit version (Serenic) of Microsoft Dynamics NAV
  • Familiar with basic computer navigation
  • Ability to quickly assess issues and relevant information to make effective decisions
  • Ability to consistently complete work on schedule
  • Strong organization skills
  • Acute attention to detail and a dedication to providing high quality work
  • Proficient at managing processes and able to prioritize workload/duties
  • Experience in handling sensitive/confidential information
  • Ability to work in team environment as well as independently
  • Self-motivated team player who can work in a fast-paced growing environment
  • Must have strong problem solving, analytical, and effective communication skills
  • Friendly and helpful attitude
  • Good verbal and written communication skills
  • Ability to multi-task
  • Key 50 + words per minute, 98% accuracy
