American Medical Associates seeks an accounting assistant who is proficient in QuickBooks and Microsoft Excel to work directly with the Chief Operating Officer (COO) to prepare and maintain financial reports that assist in tracking the organization’s assets, liabilities, profit and loss, tax liabilities, and other related financial activities.

The accounting assistant will also perform routine clerical, filing, and data entry tasks for accounting data including accounts payable, billing, and receivables, as well as verifying invoices for products and services rendered and forwarding checks to the respective companies.

Duties/Responsibilities:

  • Conducts routine data entry management for accounting records including accounts payable, billing, and accounts receivable.
  • Reviews and verifies billing statements, invoices, and similar documents for accuracy; alerts supervisory staff of any discrepancies.
  • Forwards checks to vendors for products and services rendered.
  • Prepares monthly balance sheets, income statements, and profit and loss statements.
  • Distributes accounting and MIS reports as directed.
  • Maintains knowledge of acceptable accounting practices and procedures (GAAP).
  • May assist with answering telephones and other clerical tasks as needed.
  • Maintain strict confidentiality and adhere to all HIPAA guidelines and regulations.
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Intermediate to advanced knowledge of QuickBooks and Microsoft Office Suite.
  • Ability to accurately and efficiently enter data into computer software and systems.
  • Knowledge of general financial accounting and cost accounting.
  • Understanding of and the ability to adhere to generally accepted accounting principles (GAAP).
  • Excellent verbal and written communication skills.
  • Basic mathematical skills.
  • Excellent organizational skills and attention to detail.

Education and Experience:

  • High school diploma or equivalent required.
  • Accounting/bookkeeping training/experience preferred.
  • New college or university grads encouraged to apply.
